Thank you for your interest in volunteering for ICSEST 2026. Volunteer support is essential to delivering a professional, welcoming, and well-organized conference experience. By joining the volunteer team, the applicant contributes directly to smooth session operations, delegate support, and on-site coordination for an event that brings together international experts in sustainable energy and smart technologies.

Location: The Social Hub Madrid, Calle de Cuesta de San Vicente, 28, 28008 Madrid, Spain


1. Volunteer Eligibility
  • Volunteers must be able to attend in person at the conference venue in Madrid, Spain.
  • Conference venue: UBC Nest Catering & Conferences, Calle de Cuesta de San Vicente, 28, 28008 Madrid, Spain.
  • Event dates: 15–16 October 2026 (daily shift times will be assigned after selection).
  • No travel support, visa sponsorship, or invitation letters are provided for volunteering.
2. Volunteer Responsibilities
  • Volunteers may be assigned roles such as registration support, session coordination, or AV support (excluding logistics).
  • Volunteers must follow assigned schedules and instructions provided by the organizing committee.
  • Any change in availability must be communicated in advance to the Secretariat.
3. Code of Conduct
  • Volunteers must maintain professionalism, integrity, and respect for all participants.
  • Harassment, discrimination, or inappropriate behavior may result in immediate removal.
  • Volunteers must follow venue safety rules and event procedures.
4. Benefits & Recognition
  • Selected volunteers may receive an official appreciation certificate from ICSEST 2026.
  • Volunteering is unpaid and voluntary.
5. Agreement & Commitment
  • By submitting this form, the applicant confirms availability and agreement with the terms.
  • Failure to comply with these terms may result in removal from the volunteer program.

Handle attendee questions, direct participants, provide information, and guide speakers and guests.

Ensure microphones, projectors, virtual streaming, and session recording systems function correctly.

AV & IT assistants
Assist presenters with slides, troubleshoot technical issues, and monitor online platforms.
Session Management Coordinator
Session coordinators
Coordinate with speakers, ensure smooth transitions between sessions, and keep the program on schedule.
Assistant
Session assistants
Support Q&A, assist speaker transitions, communicate urgent issues, and ensure smooth interaction.
Communication & Logistics Photographer / videographer Capture event photos and short video highlights for conference documentation and reporting.
Logistics & venue support Support signage, seating arrangements, room readiness, and general delegate guidance.
Delegate Experience Engagement support Welcome delegates, facilitate networking flow, and assist with general coordination needs.
Emergency & Safety First aid & safety liaison Remain on standby for health and safety concerns and coordinate with venue security or staff as needed.
